JOB SPECIFICATION

Job Title: Church Receptionist

Reports To: Community Minister

    • Position Status: Part Time 7.5 hours. 9 to 5 plus additional time between 8:30 and 6:30 as required for setup / clearup and for groups to finish building use. £9.11 after 3 months £7.50 for 3 months training/probation period. Pro rata 25 days holiday / sick pay etc.
    • Purpose: The church receptionist is responsible for greeting and assisting all visitors to the church, as well as telephone callers. The receptionist is also responsible for lobby hospitality, and support for building users. Admin work includes lettings enquiries, bookings and other office support.

Job Responsibilities and Duties:

The primary responsibilities include:

  • Opening and closing the building.
  • Greeting visitors with a warm welcome.
  • Dealing with telephone calls and e-mails.
  • Providing information to the general public about the church, rooms for hire and gallery space, and keeping leaflets and booking forms stocked.
  • Setting up, maintaining and clearing the hospitality area in the lobby, especially the drinks station.
  • Chatting with people who have dropped in for a drink.
  • General administration support, and keeping desk area organised.
  • Dealing with lettings enquiries, taking payments, and assisting the events manager with function enquiries.
  • Entering bookings on lettings software and maintaining the printed diary.
  • Checking building staff keep rooms and toilets clean, safe and ready for use.
  • When the building is closed to the general public during functions or business bookings, assisting the event staff.
  • Dealing with any fire, health and safety incidents that occur.
  • Job Skills and Requirements:
  • It is a genuine occupational requirement that the employee is a committed Christian, or has understanding of Christian values and support for the church ethos.
  • Excellent verbal communication skills with a wide range of people.
  • A welcoming and approachable manner in person and on the phone.
  • Self reliance and confidence, for lone working and assisting guests with social needs.
  • The ability to balance a flexible and service based approach with the occasional need to direct clients about behaviour, safety, or care of the facility.
  • Good personal organizational skills and an ability to work in a team with other employees and volunteers.
  • Administrative skills should be sufficient for:
    - accurate taking of messages and writing emails.
    - accurate entry of bookings and payments.
  • Timely and consistent attendance, and where possible a flexible approach to hours of work.

Evaluation and Compensation:

The part time receptionist reports to the community minister and will receive an annual performance review. Compensation is reviewed annually by the ministers and managing trustees.
